Welcome to our products. BibiGPT (including https://bibigpt.co and other products provided by EvergreenAI, hereinafter referred to as "Products") and its top priority is to ensure the security of user data and the protection of privacy. This privacy policy explains the data collected and how it is processed when you access and use our products and services.

Please read this Privacy Policy carefully and confirm that you fully understand all the rules and points of this Privacy Policy before continuing to use the Products, and once you choose to use it, you agree to all the contents of this Privacy Policy and agree to the collection and use of your relevant information by the Products in accordance with it.

If you do not agree to the relevant agreement or any of its terms, you should stop using the products and services.

This Privacy Policy helps you understand the following:

I. How the products collect and use your personal information;

ii. how the products store and protect your personal information;

iii. how the products share, transfer, and publicly disclose your personal information;

iv. how the products use cookies and other tracking technologies;

V. How the products access, use, store, and share Google user data.

I. How products collect and use your personal information

Personal information is information recorded electronically or otherwise that can identify a specific natural person or reflect the activities of a specific natural person, either alone or in combination with other information. In line with applicable law, and only where it is legitimate, lawful, and necessary, the product collects and uses the following information while you use it.

  1. Account information. The email address and password you provide when you register or sign in, and, if you sign in with Google or another third party, the account identifier, name, email address, and profile photo (if any) that service returns. Used to create your account, verify your identity, sign you in, and contact you about the service.
  2. Content you submit. Links you enter, audio, video, and documents you upload, and files you import from a cloud drive. Used to create transcripts, summaries, and related results, which are stored in your account so you can open them later. This content is used only to provide those features. It is not used for advertising, and it is not used to train public or generalized AI models.
  3. Usage and device information. For example, the time of a visit, the features you use, browser type, device type, and language preference. Used to keep the service secure, fix failures, and improve the product.
  4. Cookies and similar technologies. See section IV.
  5. Transaction information. Subscriptions and payments are processed by the payment provider. The product keeps the order and membership status needed to activate and maintain the service you buy.

Features that require an account need you to register or sign in. The product stores the information above against that account. The product may send a text message or email to verify that the identity is valid.

Audio, video, and documents you upload or import (including meeting recordings and personal notes) are treated as your personal content. They are protected by the security measures in section II during and after processing. You can delete your own content in the product.

II. How the product stores and protects your personal information

As a general rule, Products will retain your personal information only for as long as necessary to achieve the purposes for which the information was collected. Products will retain your personal information for as long as strictly necessary to manage the relationship with you (for example, when you create an account to obtain services from a product).

Products may be required to retain your personal information on file beyond the expiration of such period for the purpose of complying with a legal obligation or to prove that a right or contract satisfies the applicable statute of limitations, and may not be able to delete it at your request. Products ensure that your personal information is completely deleted or anonymized when it is no longer necessary for the purposes or files corresponding to the products' legal obligations or statutes of limitations.

Products use industry-standard security measures to protect the personal information you provide and encrypt critical data within it to prevent unauthorized access, public disclosure, use, modification, damage or loss. Products will take all reasonably practicable steps to protect your personal information. Products use encryption technology to ensure the confidentiality of data; products use trusted protection mechanisms to prevent malicious attacks on data.

The product encrypts critical data in transit and at rest and limits who can access it. Account details that can identify you, and content you submit or import, are stored with your account so the product can provide the service. The product does not keep a separate identifiable copy of that data for advertising or for training public models.

III. How the products share, transfer and publicly disclose your personal information The products use your personal information in a compliant and appropriate way when that is needed to run the service and to pursue legitimate interests in serving you. The product does not sell your personal information, and it does not give it to third parties for their own marketing or advertising. To provide the service, the product uses processors for hosting, payments, transcription, and summarization. Those processors handle only the data needed for that function, and only on the product's instructions. Except for the cases described in this section and in section V, the product does not share your personal information with third parties.

Products may share your personal information with external parties as required by law or regulation, or as mandated by government authorities. Subject to laws and regulations, when Products receives a request for disclosure of information as described above, Products may request that legal documents must be produced in response, such as a subpoena or letter of inquiry. Products strongly believe in being as transparent as possible with respect to the information requested, to the extent permitted by law.

Prior authorized consent is not required for the sharing, transfer, or public disclosure of your personal information in the following circumstances:

  1. directly related to national security or defense security
  2. directly related to crime investigation, prosecution, trial and sentence enforcement, etc;
  3. for the purpose of safeguarding your or other individuals' life, property and other significant legitimate rights and interests but for which it is difficult to obtain your consent
  4. personal information that you disclose to the public on your own;
  5. where personal information is collected from information that is lawfully and publicly disclosed, such as lawful news reports, government information disclosure and other channels
  6. necessary for the conclusion and performance of a contract at the request of the subject of the personal information
  7. necessary for the maintenance of the safe and stable operation of the products or services provided, such as the detection and disposal of product or service failures;
  8. other circumstances as provided by law and regulations.

IV. How the product uses cookies and other tracking technologies

To ensure the proper functioning of the product, the product stores a small data file called a cookie on your computer or mobile device. cookies typically contain an identifier, the product name, and some numbers and characters. Cookies allow products to store data such as your preferences or products and are used to determine whether a registered user is logged in, to improve service and product quality, and to optimize the user experience.

Products use a variety of cookies for different purposes, including: strict necessity cookies, performance cookies, marketing cookies, and feature cookies; some cookies may be provided by external third parties to provide additional functionality to the product. Products will not use cookies for any purpose other than those described in this policy. You may manage or delete cookies according to your preferences.

You can clear all cookies saved on your computer or phone, and most web browsers have a feature to block or disable cookies, which you can configure for your browser. Blocking or disabling the cookie feature may affect your use or inability to fully use the products and services of the Product.

V. Google user data

If you sign in with a Google account, the product receives the account identifier, name, email address, and profile photo (if any) that Google provides. That information is used only to create your account, sign you in, and identify you.

When you import a file from Google Drive, BibiGPT requests permission to see and download all of your Google Drive files (scope: https://www.googleapis.com/auth/drive.readonly; the consent screen says “See and download all your Google Drive files”). BibiGPT uses this permission only to complete an import you start yourself: it downloads the file you select and creates a transcript and a summary for you. It does not modify or delete files in your Drive. The product limits its use of Google user data to providing user-facing features that are visible in the product: signing in with your Google account, and importing a file you select from Google Drive so the product can transcribe and summarize it. The product does not use Google user data to serve advertisements, including retargeting, personalized, or interest-based advertising. It does not use Google user data to determine creditworthiness or for lending. It does not use Google user data to train public or generalized AI models.

Storage: sign-in details tied to your Google account are stored in your product account so the product can sign you in and identify you. Files you import from Google Drive, and the transcripts and summaries created from them, are also stored in your account so you can open them later. Retention follows section II. You can delete your own content in the product. After you delete your account, the product deletes or anonymizes personal information it no longer needs, as described in section II.

Sharing and limited use: the product does not sell Google user data, and it does not give that data to third parties for their own purposes. To transcribe and summarize a file you import from Google Drive, the product sends that content to infrastructure and AI processors acting on its instructions, and only to provide that feature to you. Otherwise, the product transfers Google user data only if you give explicit consent, to protect security, to comply with applicable law, or as part of a merger, acquisition, or sale of assets, with notice where required. Staff do not read this content unless you explicitly ask them to (for example, to handle a support request), for security, to comply with law, or when the data is aggregated and can no longer identify you and is used only for internal operations.
